Trophy and gifts illustrating a company prize-giving event
Prepare your participant list, prizes and presentation before guests arrive.

1. Prepare a small event first

For example, a company has 60 eligible guests, five regular gifts and one special prize. Before entering data, agree who is eligible, whether one person may receive multiple prizes and what happens when a selected guest is absent. Share those rules with participants; the software does not decide eligibility for the organiser.

Open Lucky Draw and use rehearsal to try the presentation before running a real event. For a saved event, follow the sign-in prompts in the interface. Use a clear event title and check the language and date. Use rehearsal rather than a real event just to test a spin.

2. Import and check participants

Give each person a unique ID so identical names can be distinguished. Use the sample file and the in-app import guide for the exact column names; save CSV as UTF-8 for Vietnamese names. Check the imported count and resolve duplicate IDs before continuing.

Names may appear on the audience screen. Import only the information needed for the draw and make sure you are authorised to use the list. Keep phone numbers, access codes and sensitive information out of event titles, public links and screenshots.

A CSV example to try

These are fictional participants for illustration. Keep the id,name, group header and replace all sample rows with an authorised list before creating a real event. Save as CSV UTF-8; renaming an Excel workbook to .csv does not convert it.

EMP007,Đặng Mai Lan,销售

3. Set prizes and draw order

For the example, create one regular-prize type with quantity five and one special prize with quantity one. Check that the total is six prize units. In Draw order, put regular prizes first and the special prize last if that is your announced running order. Prize name and quantity are separate fields; writing “5” in a prize name does not create five units.

Choose one of five drawing modes for your workflow. In elimination mode, remaining counts must decrease and the final pool must be large enough for the awards. For a custom workflow, inspect allocation checks and fix under- or over-allocated prizes before starting. Machine, wheel and Matrix presentations are visual styles; they are separate from prize-allocation rules.

4. Rehearse on the actual projector

  1. Connect the event computer to the actual projector. Choose light/dark appearance and enable Projector mode; read long names from the back of the room.
  2. Run a rehearsal draw. Rehearsal does not save winners to a real event. Check sound after a click because browsers may block autoplay.
  3. Try each presentation you will use, check the wheel and result size, and locate the confirmation and redo controls.
  4. If inviting viewers, test the link and access restrictions in another window. Share private access codes only with authorised viewers; do not put them into public URLs.

5. Call the name, then confirm the result

A newly displayed selection is pending confirmation. Call the name and check eligibility using your announced rules. If the person accepts the prize, choose Save and close to record the official result. If a redraw is needed before saving, use Redo. That action cannot redo a result after it has been saved.

When winners are revealed one at a time, resolve the current selection before drawing the next. If the connection is interrupted, check the event’s saved results before retrying; a slow display does not prove that a save failed. Fireworks celebrate a reveal; they are not evidence of result validity.

6. Keep a report and finish the event

After prize-giving, reconcile awarded prizes against the total quantity and export the PDF report or results data offered in the interface. Store that report appropriately for participant information. Company branding is an optional paid presentation/report feature for the selected event; it does not change selection odds. Pricing and terms are shown before payment.
